Limits on credit and holds on the sales process

I recently wrote a blog post about sales process holds and wanted to highlight a useful benefit of using them with customer credit limits. If you’re unfamiliar with sales process holds, they are custom rules you can apply to sales documents like quotes, orders, and invoices. These holds can prevent actions such as printing, posting, fulfilling, or transferring and can be applied to individual documents, groups of documents, or specific document types.

A helpful feature is using sales process holds with customer credit limits. You can set a process hold to automatically activate when a customer exceeds their credit limit. For instance, if your credit manager needs to review all documents exceeding credit limits, an automatic hold would flag those documents. The credit manager could then review and release the hold on approved documents.

Setting this up is straightforward. First, create the process hold in Microsoft Dynamics GP (Tools > Setup > Sales > Process Holds).

Input the Process Hold ID, description, and an optional password for releasing the hold. Then, select the “Apply Hold To” actions and save.

Next, link the hold to the specific order or invoice types. Navigate to Sales Order Processing Setup (Microsoft Dynamics GP > Tools > Setup > Sales > Sales Order Processing Setup), then click “Sales Document Setup” and choose either “Invoice” or “Order.”

Choose the Order or Invoice ID, select the relevant process hold in the “Credit Limit Hold ID” field, and save. Now, when an order uses this ID and exceeds the customer’s credit limit, the hold will activate. Note: for this to work, the “Exceed Credit Limit” option in Receivables Management Setup (Microsoft Dynamics GP > Tools > Setup > Sales > Receivables) must not have a password set.

When entering an order that surpasses the customer’s credit limit, a warning message appears. Select “Continue,” and the hold will be applied upon saving the order.

You’ll notice the CREDIT process hold has been automatically applied. A simple yet powerful feature!
